Data Retention Policy
The short version
Clip videos are deleted automatically 180 days after upload. Your coaching results — the findings and the progress trends built from them — are kept until you delete the clip or your account. 4thCoach records video of young athletes, so we treat the footage as the sensitive part and the coaching text as the part worth keeping.
What we keep, and for how long
| Data | Retention |
|---|---|
| Clip video (and its audio, which is part of the video file) | 180 days from upload, then deleted automatically |
| Audio coaching walkthrough generated for a clip | 180 days from upload, then deleted automatically |
| Findings, coaching text, and progress trends | Until you delete the clip or your account |
| Still-frame thumbnail for a clip | Until you delete the clip or your account |
| Coach chat messages | Until you delete the clip or your account |
| Athlete profiles you create (name, sport, position, handedness) | Until you delete them or your account |
| Account record (email, sign-in identifier) | For as long as your account exists |
| Crash and performance diagnostics | Retained by Firebase Crashlytics on its own schedule; not tied to your identity |
| Aggregate, anonymized counts and cost rollups | Kept indefinitely — these carry no video and nothing identifying |
What "deleted automatically" means
A scheduled job runs once a day, finds every clip that has passed its 180th day, and deletes that clip's video and audio walkthrough from storage. The clip's findings and thumbnail stay, and the clip appears in your library as expired — you keep the coaching, you lose the footage.
Save any video you want to keep before its 180 days are up. Expiry is not reversible and we do not keep a copy.
Deleting things yourself, sooner
You don't have to wait for the window. Deleting a clip inside the app removes its video, thumbnail, audio, findings, chat, and comparisons immediately. Deleting your account (Account → Delete account) removes your authentication record, every clip, and every finding — usually within a minute; if any step fails, the app tells you and your sign-in stays active so you can retry.
After an account deletion, no video remains. Aggregate figures (counts and cost totals) persist, along with a small number of safety and audit records — for example, safety reports you filed and internal access logs — that we retain for trust-and-safety purposes.
If you're not the account holder
4thCoach accounts belong to adults, and the athletes in the clips don't have their own accounts. If your child appears in someone's 4thCoach clips and you want that footage removed, email us at bryan@4thcoach.com and we will delete it. You do not need a 4thCoach account to make that request.
Changes to this policy
If we shorten a window, we'll just do it. If we ever lengthen one, we'll say so on this page and inside the app before the change takes effect. The "Effective" date above reflects the most recent change.
